Events

Understand Current, Past, and Archived Events

Find old Events and understand when to delete, cancel, archive, or restore an Event.

The Events page has Current, Past, and Archived views.

  • Current contains private drafts and published Events that are upcoming or underway. A Volunteer Event without an active schedule may show Unscheduled.
  • Past contains completed and cancelled Events. Their attendance, communications, and reports remain available.
  • Archived contains restorable Events removed from normal working views.

Choose the lifecycle action that matches what you mean by “remove” or “delete”:

  • Delete Event permanently removes an empty Event. It is available to an Organization Owner from Edit Event only when the Event has no participant or other protected history. Confirm Delete Event Permanently only when you do not need the Event again. If Signup Crew reports that history is protected, archive the Event instead.
  • Cancel Event closes an Event that has participant history. Open the Event, choose Edit Event, and use the Danger Zone. Cancellation closes public participation, preserves attendance and Event history, and notifies active registrations or affected Volunteers where applicable. A cancelled Event does not return to active status.
  • Archive Event removes an Event from normal working views without deleting it. Archive is reversible and is usually the right choice for an old Event you may need later.

To archive an Event:

  1. Open Events, then choose Current or Past.
  2. In the Event row, open the Actions menu and choose Archive Event.
  3. Review the confirmation, then choose Archive Event again.

You do not need to open the Event first. Use the Actions menu in its row on the Events page.

Archive Event is available for Current, Draft, Unscheduled, Past, and Cancelled Events when the organizer has Event lifecycle access. The Event does not have to be Past or Cancelled. Archiving moves it to Archived, preserves its information and history, and makes its public page and registration unavailable.

To restore it, open Events, choose Archived, open the Event's Actions menu, and choose Restore Event. Confirm Restore Event to return it to the view that matches its preserved status and schedule.

Archiving is different from cancelling. Cancellation closes participation and preserves a clear cancelled record. Permanent deletion is different from both: it cannot be undone and is limited to Events without protected history.
